Onit Dictate

Privacy Policy

TL;DR: Onit Dictate is 100% local. Your voice is processed entirely on your Mac — it never touches any remote servers. We don't collect your audio, transcripts, or any dictation data. The only thing we might collect is your email if you choose to create an account, and two fully optional, opt-in programs: app analytics and anonymized transcript corrections to help improve accuracy. The latter is off by default. That's it.

Note: if you choose to turn on our legacy tools (Side Panel & QuickEdit), please see our Privacy Policy for Legacy Tools.

This Privacy Policy describes how Onit, Inc. (“Onit”, “we”, “our”, or “us”) collects, uses, and protects your information when you use Onit Dictate and our related services (collectively, the “Services”).

We are committed to ensuring that your data stays private and that you retain full control. Onit Dictate is built on a single foundational principle: your voice never leaves your device.

Onit, Inc. is headquartered in San Francisco, California, United States.

1. Overview

Privacy is not a feature of Onit Dictate — it is the foundation. Our guiding principles:

  • Your voice stays on your device. All transcription and AI processing runs locally on your Mac. No audio is ever uploaded to our servers.

  • You own your data. We never sell or share your personal information.

  • We minimize what we collect. We only collect what is strictly necessary to operate and improve the Services.

  • You stay in control. Analytics and transcript improvement features are strictly opt-in and can be disabled at any time.

  • Onit Dictate works fully offline. Nothing is ever sent to a remote server during normal use.

2. Information We Collect

We categorize data into two types: Personal Data and Usage Data.

A. Personal Data

We only collect Personal Data that you voluntarily provide, specifically:

  • Your email address, if you choose to create an account or sign in. Authentication is optional — you may use Onit Dictate without signing in.

  • Support communications, when you contact us by email or through a feedback form.

We do not collect:

  • Your voice recordings or audio data

  • Your transcribed text or dictation content

  • Clipboard contents

  • Foreground window or screen content

  • Files or screenshots

Onit Dictate does not record, store, or transmit your voice, audio, or dictation history under any circumstances.

B. Usage Data (Opt-In Only)

To help us improve Onit, we offer two optional, opt-in data sharing programs:

Analytics

If you choose to remain opted in to analytics, we may collect limited usage metrics such as:

  • Feature usage frequency (e.g., how often Smart Cleanup is used)

  • Application performance data (e.g., crash logs, startup times)

  • Platform type (e.g., macOS version)

This data contains no voice or transcript content, and is used solely to improve our Services. You can opt in or out at any time in Onit’s settings.

Anonymized Transcript Corrections

If you choose to opt in to transcript improvement sharing, anonymized samples of how you edit or correct transcripts may be shared with us to help improve local transcription accuracy. This data:

  • Is anonymized and contains no personally identifiable information

  • Is never linked to your account or device

  • Is never shared with third parties

  • Can be disabled at any time in settings

3. How Onit Dictate Works — 100% Local Processing

Onit Dictate runs entirely on your Mac. All voice-to-text transcription, AI-powered Smart Cleanup, filler word removal, formatting, and punctuation correction happen on-device using local models.

When using Onit Dictate:

  • Your audio is captured locally and processed locally — it is never uploaded anywhere.

  • Your transcripts are stored locally on your device only, under your full control.

  • No internet connection is required for dictation or AI cleanup.

  • Transcript history can be viewed and deleted from within the app at any time.

4. How We Use Your Information

We use the limited data we collect only for the following purposes:

  • To operate, maintain, and improve the Services

  • To respond to your inquiries and provide customer support

  • To troubleshoot performance issues and bugs

  • To analyze aggregate, anonymous usage trends (only if analytics is enabled by you)

  • To improve local transcription accuracy (only if transcript correction sharing is enabled by you)

We never use your data to train machine learning models for commercial purposes, and we never share your personal data with third parties for marketing.

5. How We Share Your Information

We do not sell, rent, or share your personal data with third parties. Because Onit Dictate is fully local, there is no audio or transcript data to share in the first place.

We may share anonymized, aggregate usage metrics with infrastructure service providers who help us operate and improve Onit — but only under strict data protection agreements and never including any voice, transcript, or personal information.

6. Your Choices & Controls

You are in full control of your data:

  • Authentication: Optional. You may use Onit Dictate without creating an account or providing an email.

  • Transcript history: Stored locally on your device only. You can view and delete it at any time within the app.

  • Analytics: Opt-in. Enabled by default. Toggle in settings.

  • Transcript correction sharing: Strictly opt-in. Disabled by default. Toggle in correction flow.

7. Data Retention

We retain only minimal, non-personal data (e.g., anonymized crash logs) for as long as necessary to operate the Services. All local data — including your transcript history and app settings — is stored exclusively on your device and under your control. Deleting the app removes all local data.

8. Security

We use technical and organizational measures to safeguard your information:

  • On-device data is sandboxed within the app and encrypted where appropriate by macOS.

  • Any data transmitted to our infrastructure (e.g., anonymous analytics, if opted in) is sent over secure, encrypted HTTPS connections.

  • We only use reputable third-party service providers with strict privacy controls.

9. Children’s Privacy

Onit Dictate is not intended for individuals under the age of 13. We do not knowingly collect Personal Data from children under 13. If we become aware that we have inadvertently collected such data, we will delete it immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post any changes on this page, and the revised version will be effective when posted. If we make material changes to how we use or share personal information previously collected from you, we will notify you through the Services, by email, or by other communication.
